Congratulations on choosing The Mount Kilimanjaro Challenge....the event of a lifetime!!

Please find below our simple terms and conditions for your challenge. It is important that you read and agree to these, as primarily they are designed to ensure your safety and wellbeing throughout the event. By completing and returning your registration document and fee you are confirming your agreement to these terms.


By completing and returning your registration document to us you are committing to the challenge.

It is essential that you send your registration fee of £250 at the same time as your registration document, as your participation cannot be guaranteed until we receive this. This registration fee is not refundable under any circumstances unless otherwise stated on your specific event’s page.

Once you have signed up for the event you will have 14 days in which to cancel from the date we acknowledge receipt of your documentation, your registration fee will be refunded and you will be under no further obligation to us or your chosen charity. We will need this information in writing BY EMAIL.

After this point you are legally obliged to pay the event fee in full - please bear this in mind when signing up, there will be no exceptions to this and further action will be taken if necessary to secure the amount outstanding.

We recommend that you take out an insurance policy to cover you in the event that an injury, or any personal situation that may arise that renders you unable to participate.

Payment Options

Trip costs: £2750 per person

Self-fund your challenge completely in a one off payment or by instalments.

The trip cost of your chosen option must be with Advocate Events three months before the event.

If you have agreed to pay by instalments the payment plan is a legally binding agreement and you agree to pay the instalments on the due date and until full payment has been received by us.

Self-fund your challenge and choose to fundraise for one of our charity partners or the charity of your choice.

Fundraise 100% of the agreed target

Minimum sponsorship targets: £3600 per person

You will need to have achieved at least 50% of your sponsorship by the date stated on the event page and the full balance is due one month after your challenge start date. (This does not include Gift Aid.) You will be contacted after this date if minimum sponsorship is not received.

To participate in the challenge, participants must raise the minimum sponsorship at least in addition to paying the non-refundable registration fee.

Prior to the event

It is your responsibility to ensure you have the requisite fitness levels to undertake the event. By returning your registration document and registration fee you are confirming that you have consulted your doctor (where necessary) to confirm you are able to take on this challenge. It is entirely your responsibility to obtain this and Advocate Events accept no responsibility should you fail to obtain the appropriate doctor’s approval to undertake the challenge.

An experienced member of Advocate Events staff will climb Mount Kilimanjaro with your group.

Climbing mountains carries inherent risk, you take full responsibility for this and by returning your registration document to us you confirm that you accept the risk.

During The Event

In the unlikely event that inclement weather or circumstances outside our control curtails your challenge, or makes any of the climbs unsafe, Mountain Guides may end the event. Their decision is final and no refund or alternative event will be offered. If circumstances within our control end or curtail the climbs you will be offered an alternative date to complete your challenge or compensation to the value of the trip element that could not be completed.

The Mountain Leader or Advocate Events will make a decision regarding your on-going health and fitness during the event to ensure a safe environment for all entrants. In the unlikely event you are deemed unfit to continue with the event you will be advised accordingly. The decision of our staff is final.  

Climbing Mount Kilimanjaro - The terrain is varied as it passes through different eco -systems as we ascend the mountain. Much of the walking is rough underfoot. We trek on overgrown forests paths, moorland, rocky trail and scree.

Lower down it can be wet and muddy and higher up barren and arid. Altitude is the main challenge but the route allows for excellent acclimatisation.

With any mountain event there are inherent risks Advocate Events and associated partners cannot be held responsible in the unlikely event of any injuries sustained on the mountains however caused.


Your event is covered with both public and employers liability insurance. We are not responsible for any loss or damage incurred as a result of you or your party not following safety guidance and advice, or any reckless behaviour, or for loss or damage to your personal possessions. 

Personal travel insurance is essential for this event. Your policy should cover you for trekking to heights of 5900 metres (minimum). You will be expected to provide a copy of your policy document and insurance certificate to Advocate Events no later than ONE MONTH prior to the event.

You will be entering the Challenge at your own risk and agree that Advocate Events and associated partners shall not be liable for any injury or loss that might occur as a result of participation.

You will need Worldwide travel insurance to cover the duration of this event for personal possessions, treatment of illness or injury whilst out of the UK.

Advocate take no responsibility for any participant who elects not to purchase travel insurance.

Your insurance should be in place when you register to participant on the event. If you get injured before the event you will then be able to make a claim for the costs we have paid out on your behalf so that you can take a place on a future event.

Delayed Baggage

We recommend wearing your walking boots / clothing on your  flight and taking as many of your kit items as you can in your hand luggage. We will assist in any way we can in recovering your luggage and the purchase / hiring of replacement essentials, however all associated costs must be paid for by you and claimed back from the airline / insurance company.


You are responsible for ensuring you have and bring to the event a valid passport for travelling outside the UK.


You are responsible for achieving your fundraising target of £3000 in order to complete the challenge it is important that you commit to achieving this figure.

All payments are non-refundable.

Advocate Events reserve the right to cancel your participation should you have not paid the required fee by the dates stated in the payment section above.
